Using SEOLinkMap Project Communication Tools

Chat lives in the top navigation and appears once your team has two or more users. A one-person account never sees it.

Every project gets its own room the moment the project is created. Direct messages and custom rooms you make yourself. All messages are kept 30 days.

Chat Room Types

Three kinds of room exist, and which one you are in decides what you can change about it.

Project Rooms

Every project gets a room when the project is created, named after the project. It is public to the agency and stays that way -- the settings panel disables the privacy control and says so: "Project rooms are always public and cannot be made private."

Team members join automatically when they are given access to the project, and keep chat access for as long as they hold that permission.

Direct Message Rooms

A DM room is created the first time you message someone. Click the chat icon in the top navigation, pick a name under the "Direct Messages" heading, and start typing.

DM rooms are always public to their two participants and cannot be made private. The room stays in your list afterward, so the next conversation picks up where the last one ended.

Custom Rooms

Custom rooms are for anything that is not one project or one person -- a department, a launch, a standing conversation. There is no limit on how many you create.

Click "New Custom Room" in the chat dropdown, then:

1. Enter a room name
2. Choose public or private
3. Select initial members
4. Click Create

A private room is visible only to its members. A public one is visible to everyone in the agency.

Messages And Retention

Messages are plain text. No formatting, no attachments, and no editing after sending at this time.

Each message stores its sender and timestamp, and a cleanup job deletes anything older than 30 days. Nothing is archived -- after 30 days the message is gone.

Moving The Chat Window

Drag the chat window by its header bar to anywhere on screen. Three buttons sit in that header: a gear for room settings, a minus to collapse the window to its header, and an X to close it.

Your position, your collapsed or expanded state, and the room you had open are saved in your browser and restored as you move between pages. They survive logout and stay until you clear browser data.

Unread messages show as a red dot on the chat icon even while the window is closed, and as a red "New" badge beside the room in the list. Opening the room clears both.

Managing Room Members

Open the gear icon to see the member list for any room. What you can do there depends on the room type.

In a custom room, any member can add people, remove people, and switch the room between public and private. There is no owner role -- membership is the permission.

In project and DM rooms you see the member list and nothing else. You can always remove yourself, which is how you leave a room. No room can be deleted at this time.
